Adds an "Inactive" status to the Users table for accounts that haven't been used for 30+ days — both human users and API-only accounts — with a tooltip explaining what it means, and builds the underlying last-login / last-activity tracking to surface that info.

Details

Backend

  • New users.last_login_at column (nullable timestamp). Backfilled from live sessions' created_at (session creation = login); users with no live session keep NULL. The backfill explicitly preserves updated_at (which has ON UPDATE CURRENT_TIMESTAMP).
  • last_login_at is stamped whenever a session is created (makeSessionInTransaction), covering password, SSO, and MFA logins. NewSession now wraps the session insert + stamp in a transaction.
  • New computed last_activity_at field: MAX(accessed_at) over the user's live sessions (Fleet already bumps accessed_at on every authenticated request). This is the inactivity signal for API-only accounts, whose long-lived token session is created once but used constantly. A new idx_sessions_user_id index supports the aggregate.
  • Both fields are returned on user objects from the users API endpoints (null when never logged in / no live session).

Frontend

  • The Users table status is now derived as: "No access" (unchanged) → "Invite pending" (unchanged) → "Inactive" when the account's last-seen time is 30+ days old → otherwise "Active".
  • Last seen = most recent of last_activity_at and last_login_at, falling back to created_at for accounts that have never logged in.
  • Tooltip on the Inactive status: "Hasn't logged in for 30+ days" for regular users, "No API activity for 30+ days" for API-only users.

Checklist for submitter

  • Changes file added for user-visible changes in changes/, orbit/changes/ or ee/fleetd-chrome/changes.
    See Changes files for more information.

  • Input data is properly validated, SELECT * is avoided, SQL injection is prevented (using placeholders for values in statements), JS inline code is prevented especially for url redirects, and untrusted data interpolated into shell scripts/commands is validated against shell metacharacters.

Testing

  • Added/updated automated tests
  • QA'd all new/changed functionality manually

Database migrations

  • Checked schema for all modified table for columns that will auto-update timestamps during migration.
  • Confirmed that updating the timestamps is acceptable, and will not cause unwanted side effects.
    • users.updated_at has ON UPDATE CURRENT_TIMESTAMP; both the migration backfill and the per-login stamp explicitly preserve it (updated_at = updated_at), covered by tests.
  • Ensured the correct collation is explicitly set for character columns (COLLATE utf8mb4_unicode_ci).
    • N/A in practice: the new column is a TIMESTAMP, no character columns added.

Summary by CodeRabbit

  • New Features

    • Added user activity tracking for last login and last activity times.
    • User statuses now display as Active, Inactive, or No access.
    • Added clearer status indicators and tooltips, including invite-pending states.
    • Existing login activity is preserved when upgrading.
  • Bug Fixes

    • Status calculations now correctly account for access, roles, recent activity, and API-only users.
    • Login activity updates no longer modify unrelated account timestamps.

Users who haven't logged in for 30+ days now show an "Inactive" status
(with an explanatory tooltip) in the Users table.

- Add users.last_login_at column, backfilled from live sessions'
  created_at (login time), preserving updated_at
- Stamp last_login_at whenever a session is created (password, SSO, MFA)
- Wrap NewSession's insert + stamp in a transaction
- Return last_login_at from the users API
- Frontend derives Inactive from last_login_at (created_at fallback);
  API-only users are never marked inactive

Pull request overview

This PR introduces backend tracking of a user’s most recent login time (users.last_login_at) and uses it in the admin Users table to surface an Inactive status for users who haven’t logged in for 30+ days (with a tooltip explaining the status).

Changes:

  • Add users.last_login_at (schema + migration with best-effort backfill from live sessions) and expose it on fleet.User.
  • Stamp last_login_at when creating a session (now done within a transaction) and add datastore tests to ensure updated_at is preserved.
  • Update the frontend Users table to derive “Inactive” status (with tooltip) and add unit tests + stubs/mocks updates.

Walkthrough

Adds nullable user login and activity timestamps across the database, backend models, frontend interfaces, fixtures, and mocks. Session creation records last_login_at without changing updated_at. User activity is derived from session access times. User status is computed from roles and the latest relevant timestamp. The frontend maps server statuses, handles invite statuses, and updates status indicator colors and tooltips. Migration, datastore, service, and frontend tests cover the new behavior.

Add a test for the "No access" invite path.

generateInviteStatus can return "No access" when an invite has global_role: null and empty teams, but no test covers this branch. Adding it would complete coverage for both return paths of the function.

Surface last_activity_at (MAX of live sessions' accessed_at, bumped on

recent of last activity / last login in the Inactive check so API-only
accounts are covered too, with an API-specific tooltip. Adds a user_id

frontend/pages/admin/ManageUsersPage/components/UsersTable/UsersTableConfig.tsx:105

  • isInactive picks the most recent timestamp by sorting ISO strings lexicographically. That’s brittle if timestamp formatting ever differs (e.g., fractional seconds vs none), and it’s less direct than comparing actual times. Since we parse the value into a Date anyway, compute the max using numeric timestamps instead of relying on string ordering.
  const lastSeen =
    [user.last_activity_at, user.last_login_at]
      .filter((date): date is string => !!date)
      .sort()
      .pop() ?? user.created_at;

Code LGTM but wondering if we can simplify the FE and move logic to the BE.

# Conflicts:

Address review feedback: derive the Active/Inactive/No access user status
in the backend (like HostStatus) instead of in the frontend, so the
frontend stays dumb and the 30-day cutoff uses the server clock rather
than the browser's (a skewed client clock could misreport status).

- Add fleet.UserStatus (active/inactive/no_access) and
  User.ComputeStatus(now), computed at read time from last_login_at,
  last_activity_at, and created_at.
- Stamp status in ListUsers (before team-scoping strips memberships, so
  out-of-scope teams don't misreport no_access) and in User (get user).
- Frontend now just maps the server-computed status to display text;
  invites keep their client-side status (separate endpoint, merged
  client-side).
- Bump migration 20260729180520 -> 20260816032039 and regenerate
  schema.sql after merging main.

@allenhouchins maybe it's worth moving these documentation changes to its own PR and target docs-v4.92.0 (so that you're not blocked by product on the BE/FE code itself).

Resolves #56309

This PR resolves an issue where getting (or listing) sessions for
another user would [call
`MarkSessionAccessed`](https://github.com/fleetdm/fleet/blob/71d31d56ba761f843e4b8e8878a868ed5dbb62c5/server/service/sessions.go#L954),
incorrectly marking that session as accessed/active. Because the
[session duration is an inactivity
timeout](#5476) and not a maximum
lifetime, **listing sessions could make all sessions last
indefinitely.** 😿

## Before

Using the api token for `synse@local.host` to list sessions for
`hubot@local.host` causes the `accessed_at` timestamp to be updated for
`hubot@local.host`'s session (id 3). 👎

<img width="897" height="499" alt="Before"
src="https://github.com/user-attachments/assets/5acb3d0f-afee-4fae-a5dd-c8d8a709fb63"
/>

## After

Using the api token for `synse@local.host` to list sessions for
`hubot@local.host` does not update the `accessed_at` timestamp for
`hubot@local.host`'s session (id 3) but DOES update the timestamp for
`synse@local.host`'s session (id 5). 👍

session](https://fleetdm.com/docs/rest-api/rest-api#get-session) and the
[List
sessions](https://fleetdm.com/docs/rest-api/rest-api#list-sessions) API
endpoints ultimately call [`MarkSessionAccessed` from
`validateSession`](https://github.com/fleetdm/fleet/blob/ce38a506e64804d1d801e9f47d66a8e2de512813/server/service/sessions.go#L935-L955)
which [updates the `accessed_at`
time](https://github.com/fleetdm/fleet/blob/ce38a506e64804d1d801e9f47d66a8e2de512813/server/datastore/mysql/sessions.go#L229-L235)
for **the session being retrieved or listed, not just the session being
used.**

This PR resolves the issue by moving the `MarkSessionAccessed` call from
`validateSessions` into
[`GetSessionByKey`](https://github.com/fleetdm/fleet/blob/c9f19a9d0f4c703f8c8f528011ac9f2c3df75998/server/service/sessions.go#L921)
so that `accessed_at` is only updated _for the session being used_. It's
worth noting that the [**Inactive user status** added in Fleet
4.92.0](https://fleetdm.com/releases/fleet-4-92-0#:~:text=Added-,an,-%22Inactive%22%20status%20with)
is heavily impacted by this because [`last_activity_at` uses
`MAX(accessed_at)`](https://github.com/fleetdm/fleet/blob/ce38a506e64804d1d801e9f47d66a8e2de512813/server/datastore/mysql/users.go#L30-L33)
for a users sessions. ⚠️ cc #49211

- **Bug Fixes**
- Session access timestamps are refreshed when a session is retrieved by
its key, but not during read-only session information requests.
- Errors encountered while refreshing a session’s access timestamp are
returned to the caller.
- **Tests**
